Job Title - Office Assistant
We are seeking a diligent and detail-oriented Office Assistant to join our team at Red Bricks & Orange Maples in Delhi, India. This is a full-time, on-site role responsible for providing administrative support, managing office tasks, and assisting with daily operations to ensure the smooth functioning of our office. Person should be highly motivated have a high sense of responsibility for his/her role.
Key Responsibilities:
- Perform general clerical duties, including photocopying, scanning faxing, mailing, and filing of documents and maintaining records.
- Maintain office supplies inventory by checking stock and ordering new supplies as needed.
- Answer, screen, and forward incoming phone calls and emails.
- Manage and organize office documents and records, both physical and digital.
- Schedule and coordinate meetings, appointments, and travel arrangements for team members.
- Assist with the preparation of reports, presentations, and correspondence.
- Greet and assist visitors and clients, ensuring a professional and welcoming environment.
- Support the Business Headin recruitment tasks, including scheduling interviews and onboarding new employees.
- Coordinate office maintenance and repairs, liaising with vendors and service providers.
- Handle confidential information with discretion and maintain data security.
- Independently email all business correspondence, billing, bookkeeping, attendance management, maintain summary of expenses, voucher entry, monthly expenses report, MIS for projects, and cost analysis.
- File office records, employee records, and statutory documentation.
- Coordinate with site supervisors and site engineers for attendance and collection of personal records of workers and others and file them to complete statutory requirements.
- Visit banks for banking requirements, such as preparation of demand drafts (DD), collection or deposit of money, etc.
- Prepare site stock reports and Asset reports for monthly MIS.
- Should hold a valid two-wheeler driving license to undertake site visits
- Perform other related duties as assigned to support office operations during the course of time.
- Ensure timely payment of all bills, vendor payments and statutory payments on time (GST and others) after taking approvals.
- Coordinate with external auditor / Accounts team for preparation of preparation P&L Accounts, Fund flow statement, Book keeping, Balance sheets and Quarterly tax deposit, Audit of Accounts and Annual ITR.
Qualifications Required:
- Graduate in any discipline or office administration from reputed college or institute.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time-management skills.
- Strong attention to detail and problem-solving abilities.
- Effective communication and interpersonal skills.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Familiarity with office equipment, such as internet, printers, scanners, and fax machines.
- Ability to work independently and as part of a team.
- Knowledge of English and Hindi is mandatory.
Experience & Desired Knowledge:
- 3 to 4 years of experience in a similar field.
- Experience with scheduling and coordinating meetings and appointments and handling guests and clients.
- Experience in preparing MIS, Analytics, preparing reports, using MS office.
- Experience in bookkeeping tasks such as invoicing and accounts management.
- Experience in safeguarding and record management.
